Hospitality

Compliance software for hospitality recruitment agencies.

Short shifts, young workers and same-day bookings — the sector where a check is most likely to be skipped and most likely to matter.

Hospitality supply runs on short notice. A venue is short for tonight, the shift is a few hours, and the booking is made and filled within the hour. Nothing about that rhythm encourages anyone to stop and look at a file.

Two things make it riskier than the shift length suggests. The workforce skews young, which brings age-related restrictions into play that other sectors rarely think about. And a meaningful share of workers hold time-limited permission to work — which makes right to work a date to be watched rather than a box ticked at registration.

The consequence is that compliance has to live where the booking happens. A process that depends on somebody reviewing a file the following morning is a process that has already failed, because the shift was worked the night before.

The file

What a hospitality file has to hold

  • Right to work, and any time limit on it
  • Age, where a role carries a restriction
  • Personal licence or training where a role requires it
  • Food hygiene training where the role requires it
  • Venue inductions and client-specific briefings
  • Agency worker rights information

AgencyOptix records each of these as a dated item with its own expiry. It does not carry out the check.

The problem

What makes hospitality compliance hard

  • Booked and working within the hour

A shift filled at four for a six o'clock start leaves no window in which anybody reviews a file. Compliance in this sector has to be something a consultant can see while booking, because there is no later.

  • Time-limited permission at scale

Where permission to work is time-limited, it expires on a date that nothing else marks. At volume and with high turnover, somebody's always approaching that date, and the worker has no reason to mention it.

  • Age restrictions nobody is tracking

A young workforce brings restrictions on certain work and certain hours. They are easy to overlook because they are not a document to be collected but a fact about the worker that changes what they can be placed into.

  • Churn that empties the file

Workers appear for a season and leave. The compliance file is being rebuilt continuously, and a process that depends on onboarding being done carefully is under pressure every single week.

The answer

How AgencyOptix helps

  • Booked and working within the hour

The compliance position is visible at the point of placing, so a consultant filling a shift for tonight can see what is missing before confirming rather than after the worker has gone.

    Compliance dashboard
  • Time-limited permission at scale

Right to work is recorded as what was seen, by whom and when, with any time limit tracked so the re-check is raised before the date rather than discovered after it.

    Right to work checks
  • Churn that empties the file

Each worker has one record carrying its own dates from registration onwards, so rebuilding the book is the same process as maintaining it.

    Candidate records
  • Age restrictions nobody is tracking

Placements are recorded against the client and the terms that applied, so what somebody was supplied into — and under what conditions — is a record rather than a recollection.

Questions

What hospitality desks ask

Can a consultant see compliance while booking a shift?
That is the case it is built for. The position is visible at the point of placing, which in this sector is the only moment that exists — there is no later review before the worker starts.
Does it carry out right to work checks?
No. It records the check you carried out and tracks any time limit so the re-check is raised before it expires. The check itself stays with you and the guidance you follow.
Can we record restrictions on what a worker can be placed into?
Candidate records hold the documents and facts you record against a worker, and placements record what they were supplied into. Whether a particular restriction applies is a judgement for you rather than something the system decides.
Does it track food hygiene or licensing training?
Yes. Any training or qualification can be held with its own expiry, so a lapsed certificate shows up the same way a lapsed document does.
Does it handle payroll or holiday pay?
No. Timesheets are captured and approved in AgencyOptix; payroll, holiday pay calculation and umbrella arrangements sit outside it.
