This policy explains how AgencyOptix, part of Optix Group, handles personal data — both for the organisations that use the platform, and for the candidates and staff whose records are held within it.
2. Information we collect
Account and contact details for your organisation's staff; usage data needed to operate the platform; and the candidate and client records your organisation enters, which may include sensitive personal data such as right-to-work, DBS and qualification information.
3. How we use it
Candidate and client records are used only to provide the platform's features back to your organisation — we do not use them for any other purpose. Account and usage data is used to run, secure and improve the service.
4. Data storage and security
Data is stored on infrastructure appropriate to its sensitivity, with role-based access controls so staff only see what they need to. Access to right-to-work and DBS records is restricted by role.
5. Data sharing
We don't sell or share your organisation's data with third parties for marketing purposes. Data may be shared with infrastructure or support providers strictly to operate the platform, under appropriate agreements.
6. Your rights
Under UK GDPR, individuals have rights to access, correct, or request deletion of their personal data, subject to any statutory retention requirements that apply to recruitment and right-to-work records.
7. Cookies
The marketing site uses only essential cookies required for the site to function. The platform itself uses session-based authentication.
