Construction

Compliance software for construction recruitment agencies.

The gate decides. A worker without the right card in date does not get on site, whatever the file says.

Construction placement is governed less by legislation than by the site. Principal contractors set the card schemes, the qualifications and the inductions they will accept, and enforce them at the gate — which makes compliance here immediate and visible in a way it is not elsewhere.

That has a practical consequence for an agency. A turned-away worker is a lost shift, an unhappy client and a cost that lands on you the same day, so the compliance question is not only whether the file is defensible but whether the worker will actually get through the gate this morning.

The agency sits in the middle of that. You are not the one setting the standard and you are not the one enforcing it at the gate, but you are the one whose worker is standing there, and the one the client rings. Keeping ahead of it means knowing what each contractor accepts and which of your workers currently satisfies it.

The file

What a construction file has to hold

  • Card scheme membership and expiry, by trade and level
  • Qualifications and competence evidence behind the card
  • Right to work, and any time limit on it
  • Site inductions and client-specific requirements
  • Plant and equipment tickets where the role needs them
  • Health and medical declarations where a client requires them

AgencyOptix records each of these as a dated item with its own expiry. It does not carry out the check.

The problem

What makes construction compliance hard

  • Cards expire on their own cycle

Card scheme membership runs to its own renewal period, separate from the qualification that earned it. A worker placed for months can reach a date where the card lapses and the site stops accepting them, with nothing in the booking process to flag it.

  • Every client wants something slightly different

Principal contractors set their own acceptable schemes, levels and inductions. A worker cleared for one site is not automatically cleared for the next, and a desk working several clients is tracking several standards at once.

  • Turned away at the gate

The failure is immediate and public: the worker is at the gate, the shift is not covered and the client is calling you. That is a commercial problem before it is a compliance one, and it is the one this sector actually feels.

  • Labour supplied through layers

Construction labour frequently moves through more than one supplier before it reaches a site. Who holds the evidence, and who is answerable for it, is easy to lose track of and the question only gets asked after something has happened.

The answer

How AgencyOptix helps

  • Cards expire on their own cycle

Cards, tickets and qualifications sit on the candidate record with their own expiry dates, so a card lapsing mid-placement is visible before the gate finds it.

    Candidate records
  • Every client wants something slightly different

Client and placement records hold what each client requires alongside who you have supplied them, so a desk working several contractors is not holding the differences in its head.

    Clients & placements
  • Turned away at the gate

The compliance position is visible at the point of booking, so a shortfall is something a consultant sees before confirming rather than something a site supervisor finds at seven in the morning.

    Compliance dashboard
  • Labour supplied through layers

Right to work evidence is recorded as what was seen, by whom and on what date, with any time limit tracked — so the evidence sits with you rather than somewhere up a supply chain.

Questions

What construction desks ask

Does it integrate with card scheme databases?
No. AgencyOptix records the card you saw, its number and its expiry, and tracks when it runs out. Verifying a card against a scheme's own checker stays part of your process.
Can we record different requirements per client?
Client records hold what each client requires alongside the placements you have made with them, which is what stops a desk working several contractors from carrying the differences by memory.
Can it track plant tickets as well as cards?
Yes. Any qualification or ticket can be held on the candidate record with its own expiry, so a lapsed plant ticket is treated the same way as a lapsed card.
Does it handle CIS or self-employed payment?
No. Timesheets are captured and approved, but payment, CIS deductions and umbrella arrangements sit outside AgencyOptix.
Does it carry out right to work checks?
No. It records the check you carried out — what you saw, who saw it and when — and tracks a time-limited permission so it is re-checked before it expires.
